How do spare fees work?

Set a fee for spares once and let BenchApp track who owes what.

A spare fee is what a spare pays to play in one game. Set it once for your team and BenchApp attaches it to every spare invite — manual or automatic — and keeps track of who still owes you.

This is for managers and assistant managers. Tracking the fee automatically requires BenchApp PRO.

Step 1: Open Fees & Finances

  1. Go to Settings (in the app, open the menu at the top left and choose Team Settings).

  2. Choose Fees & Finances.

Step 2: Set the fee and turn on tracking

  1. Set Spare Fee to the amount a spare pays per game. Choose Free if your spares don't pay.

  2. Turn on Track Spare Fee so BenchApp records the fee for each spare automatically, whether you invite them by hand or the automatic system does.

What happens next

  • Your spare fee is included when spares are invited, so they know the cost before they accept — including invites sent by automatic spare invites.

  • Once a spare responds to the invite, BenchApp records the fee against them for that game.

  • The amount owing shows up on the game itself, next to the spare's name, and in Finances with the rest of your team's money.

Tip: The same page has Pre Pay Required, which stops players checking into a game until they've paid, and Currency, which sets the currency for all your team's fees and payments.
