How does the auto waitlist work?

Understand how BenchApp automatically moves waitlisted players into open spots.

Auto Waitlist helps fill open spots automatically when an event is full and someone checks OUT.

Step 1: Open Auto Waitlist settings

  1. Open your team in BenchApp.

  2. Go to Team Settings.

  3. Open Events.

  4. Find the Auto Waitlist setting in the Waitlist section.

Step 2: Choose how Auto Waitlist should work

  • Turn off Auto Waitlist: team managers manually invite or move players from the waitlist.

  • Automatically accept players from top of waitlist: BenchApp checks in the next eligible player when a spot opens. Rostered players are picked before spares.

  • Invite all waitlisted players; first to accept is checked in: BenchApp invites everyone on the waitlist. The first player to accept gets the open spot.

Step 3: Make sure the event can fill up

Auto Waitlist only runs after an event reaches its maximum player or goalie limit. You can set default maximums in Team Settings β†’ Events, or adjust the limit on an individual event.

Step 4: Let BenchApp fill the open spot

When the event is full and someone checks OUT, BenchApp uses your Auto Waitlist setting to decide what happens next.

Tip: Use automatic acceptance when you want the waitlist order to decide who gets the spot. Use first-to-accept when you want the fastest available player to take it.
